The Curation Challenge

Group travel at the lifestyle tier presents a particular kind of complexity that individual bookings rarely surface. This engagement involved twelve clients drawn from a single professional circle — each with distinct retail priorities, personal schedules, and accommodation preferences, yet sharing a desire for a cohesive, socially rewarding experience.

The group required access to Dubai’s premium retail corridors, including appointment-based access to trunk shows and private brand presentations not available to general visitors. Several members held specific dining preferences — dietary, cultural, and occasion-based — that required advance coordination with hospitality teams in-destination. Two clients were travelling with minors, requiring additional logistical consideration at every stage. One client had a corporate engagement mid-journey and required flexible return scheduling without disrupting the wider group programme.

The standard group tour model — fixed itinerary, shared transfers, uniform arrangements — was entirely unsuitable. What this group required was a composed journey: coordinated at the group level, but personalised at the individual level simultaneously.


The Approach

Exe Travel Plan opened the engagement with individual briefing conversations with each traveller before any booking was made. From these briefings, a layered itinerary architecture was designed — a shared spine of group activities anchored around specific retail and dining experiences, with individual branches accommodating each client’s personal priorities.

Flight coordination was managed as a single group block while preserving seat and class preferences. Hotel placement was handled across two neighbouring properties in a single corridor, allowing group proximity while respecting individual accommodation preferences. Retail access was pre-arranged through direct destination contacts, securing appointment windows at key fashion and luxury houses ahead of arrival.

Daily concierge support was positioned in-destination throughout the programme. The corporate client’s flexible return was structured without penalty and without visible disruption to the group’s experience. Family-travelling members received dedicated logistics notes covering airport handling, in-hotel arrangements, and child-appropriate activity options embedded within the broader programme.

All documentation — visas, travel insurance coordination, itinerary packs, and destination briefing notes — was prepared and distributed prior to departure with the precision and discretion the group expected.


The Outcome

The group departed Ghana and returned as a cohesive travelling party with no reported scheduling failures, no in-destination coordination gaps, and no disruption to the shared programme. Each member experienced a journey that felt individually considered despite the group scale. Post-journey feedback consistently noted the quality of the retail access arrangements and the reliability of the in-destination concierge layer as distinguishing features.

The principal organiser returned to commission a second group programme — a corporate retreat journey — within the same travel season.
